Press card at press conferences: registration, access and etiquette

At most press conferences you register in advance with the organiser’s press office and show ID at the door. A press card is the simplest ID for that. Whether you are admitted is decided by the organiser – government, police, companies and sports clubs all set their own rules and may limit places.

How to find out about press conferences

Get on the right lists.

Press office lists

Ask councils, police forces, companies and clubs to add you to their media lists. Include your outlet, beat and press card number.

Newsrooms and wires

Government departments and large organisations publish media advisories on their websites and social channels.

Diary services

Many newsrooms use forward-planning diaries; freelancers can ask their commissioning editors about upcoming briefings.

Some briefings are restricted. Lobby briefings at Westminster, for example, are for accredited parliamentary journalists, and the UK Parliament accredits media organisations regulated by Ofcom, IPSO or Impress rather than individual freelancers. Police press conferences at major incidents may limit numbers. If you are turned away, ask whether a recording, transcript or follow-up statement will be available.

Preparing for a press conference

The journalists who get the best answers are the ones who did their homework.

Read the background

Go through earlier statements, reports and coverage of the topic. Know the key figures and the open questions, so you can spot what is new – and what is missing – in the announcement.

Prepare two or three questions

Write down precise questions in order of priority. Usually you get one question and perhaps a follow-up. Prepare an alternative in case a colleague asks yours first.

Arrive early

Register at the desk, pick up the press release and find a seat with a clear view of the speakers and the microphone runner. Check where camera positions and sound feeds are.

After the press conference

Much of the real reporting happens once the official part is over.

Doorstep and one-to-one questions

Speakers and press officers often stay for a few minutes. Use the time for a short follow-up question or to arrange an interview. Keep it brief and introduce yourself with your outlet.

Check what you were told

Compare figures with official statistics and earlier statements. Ask the press office for the written source of any number you plan to use, and get reactions from people affected or from critics.

Quotes and recordings

Record if you can and note time stamps for key quotes. On the record, background and off the record mean different things – clarify the terms before using anything said outside the formal session.

Build the relationship

Thank the press officer, send the link to your story and keep their contact. Being known as fair and accurate is what gets you onto invitation lists for the next briefing.
